Tax Exemption Summer Updates – Sam’s Club


Summer is often the time when our local suppliers choose to update systems and processes, including their tax exemption policies and procedures.  Please make sure you check our Local Supplier Information Webpage BEFORE heading to the store so that you have the most up-to-date information we have regarding doing business with that supplier.


One such change will be implemented by Sam’s Club on August 1, 2024.  Due to a corporate policy change, Sam’s Club will require each person/department to have their own membership and will no longer allow everyone to use the membership purchased by Procurement Services.


If your department or unit would like to purchase a membership to make purchases at Sam's Club on behalf of Iowa State University with a P-Card or T&H Card, this form can be used to set up the new membership as tax-exempt.  Please note that should your department choose to purchase a Sam’s Club membership, a University Business Purpose justification will need to be made for that membership (regardless of type), in the exact same way you would have to justify using University funds for any other membership purchased on behalf of Iowa State University.  Your department or unit will also be responsible for managing the purchased membership.

If you have a personal membership that you would like to use for occasional purchases on behalf of Iowa State University, you can have the Iowa State University Tax Exemption affiliated with your account.  This affiliation will enable you to have the option to make tax exempt purchases on behalf of Iowa State University with a P-Card or T&H Card.  After scanning your membership card the cashier will ask if the purchase is personal (non-tax exempt) or business (tax-exempt) and process the transaction accordingly.  If you are interested in setting up the affiliation, you will need to print a copy of this form and take it to the Membership Services desk so that they can use it to add the affiliation to your membership.  When asked for your Company Contact, please use Procurement Services as we are the contact for Tax Exemption at the University.
